The CYCA is guided by a group of dedicated volunteers, including those who hold one of four elected board positions: President, Vice President, Secretary, or Treasurer. In addition to these roles, many other volunteers contribute significantly to the success and smooth operation of the organization.
Each elected position is for a one-year term, with no maximum limit on the number of years a person may serve. Due to the substantial time commitment required, each of these roles is assigned 40 volunteer points, which are required for those participating in the League.
President The President prepares the agenda for CYCA Monthly Meetings at least eight days in advance and sends it to the Secretary for distribution to the Board and the Facilitator. They chair and attend virtual Monthly Meetings as well as the in-person evening Annual General Meeting (AGM). The President also attends Executive Meetings on a monthly or as-needed basis, and holds regular check-ins with the Facilitator to provide direction and support. They conduct bi-annual performance reviews with the Facilitator and share feedback with the Executive to determine next steps. The President represents the organization at major CYCA weekend events, signs cheques as needed, and serves as a member of any committee or attends committee meetings of interest to stay informed and engaged.
Vice President The Vice President attends virtual evening CYCA Board Meetings, the in-person evening Annual General Meeting (AGM), and Executive Meetings held monthly or as needed. They represent the organization at major CYCA weekend events when the President is unavailable and support the planning, organization, and execution of CYCA-approved, Curling Alberta-sanctioned events, such as the U18 CYCA Ray Kingsmith Memorial Bonspiel. The Vice President also signs cheques as needed.
Secretary The Secretary attends virtual evening CYCA Monthly Meetings, the in-person evening Annual General Meeting (AGM), and Executive Meetings held monthly or as needed. They take minutes at all CYCA meetings and upload them to the CYCA drive within 10 days. The Secretary is responsible for collecting meeting agendas from the President or Vice President and circulating them, as well as sending finalized agendas for Board, Special Resolution, and AGM meetings to the Facilitator for inclusion in the newsletter. They also track deadlines for sending notices of Special Meetings and AGM announcements, and sign cheques as needed.
Tresurer The Treasurer attends virtual evening CYCA Monthly Meetings, the in-person evening Annual General Meeting (AGM), and Executive Meetings held monthly or as needed. They oversee the financial operations of the CYCA, prepare monthly financial reports, and present them at Board meetings. The Treasurer ensures the accuracy and transparency of financial information. While day-to-day bookkeeping and QuickBooks entries are handled by the bookkeeper, the Treasurer monitors account activity, reviews financial records, and ensures the timely payment of invoices. They also coordinate with the bookkeeper, accountants, or auditors as needed, sign cheques, and ensure compliance with all financial policies and reporting deadlines.
